Secure print with Pin Code

Hi all,

We had a secure print software installed on the DC and users used it with PIN code when they want to print. We are decommissioning our on-prem environment and now the problem is that software used for secure print connected to our AD accounts will also be removed. What is the alternative when it comes to secure print? We would like to avoid having Azure VM just for this? Is there anything we can do to configure printers to use PIN code and connect them to Entra ID user accounts?

    Hello

Yes, there are alternatives for secure print in a cloud environment. Microsoft offers a cloud-based print solution called Universal Print. This service enables simple, rich, and secure printing experiences, while reducing time and effort for IT. It eliminates the need for on-premises infrastructure and enables IT to manage printers directly through a centralized portal.

Universal Print is integrated with Microsoft Entra ID, which means you can control access to printers based on Entra ID users and security groups. It also supports location-based printing, which allows users to locate the nearest printer and print right away.

As for secure printing with a PIN code, you can configure this on the printer itself. The exact steps may vary depending on the printer model, but generally, you would go to the printer properties or settings, select the Job Storage or similar option, and then enable the “PIN to print” option. You can then enter a four-digit PIN code that will be required to print from the printer.

Please note that while Universal Print provides a lot of functionality, it may not cover all the features provided by your current secure print software. Therefore, it’s important to evaluate your specific needs and requirements before making a decision.
