Hello Arnold Kassoy,
Thank you for reaching out to Microsoft Q&A Forum! I understand how frustrating it is when the Share option no longer uses your preferred Outlook email address. This issue can happen when the default mail app in Windows changes or when Outlook isn’t set as the system’s default for sharing actions. Please try the following steps:
1. Check default email app in Windows
Sometimes Windows File Explorer uses the Windows default mail account setting:
- Go to Settings > Apps > Default apps.
- Scroll down and select Outlook (or your preferred email app).
- Find MAILTO and make sure Outlook is set as the default application.
2. Set your default email account in Outlook
- Open Outlook (Classic desktop app)
- Go to File > Account Settings > Account Settings
- In the Email tab, select your Gmail account
- Click Set as Default
- Click Close and restart Outlook
If the issue persists: The Share function sometimes caches email account information. Try this:
- In Outlook, temporarily remove the Outlook.com account that you don't want to use
- Go to File > Account Settings > Account Settings > select your @outlook.com email → Remove
- Keep only your Gmail account active and test the Share function again
Alternative workaround: If you need to share files via Outlook, you can use the "Send to" option:
- Right-click the file in File Explorer.
- Select Show more options (Shift + F10)
- Hover over Send to and choose Mail recipient instead of using Share.
Regarding your support question: You can contact Microsoft Support directly at Contact - Microsoft Support
- In the search bar, type a brief description of your issue.
- Click "Get Help", then scroll to the bottom and select Sign in to contact support.
- Look for and select "Chat with a support agent in your web browser" or a similar callback option.
