Lab - Set up intercompany relations

Read this first - before you start the lab!

Important

For this lab, you CAN'T sign in with your own credentials. Use the following steps to sign in to your lab environment with the correct credentials.

  1. Ensure that you're signed in to Microsoft Learn.
  2. Select Launch VM mode or Sign in to launch VM mode in this unit.
  3. In the Resources tab on the lab side bar, select the T icon next to Password in the Finance and Operations box, to have the administrator password for the Virtual Machine (VM) entered for you.
  4. Select Enter.
  5. Microsoft Edge opens. Wait for it to navigate to the Sign in page for finance and operations. If you experience an issue with the Sign in page loading, try to restart the browser in the VM.
  6. On the Microsoft Sign in page in finance and operations, place your mouse cursor into the Username field.
  7. On the Resources tab of the lab side bar, below the Azure portal heading, select the T icon next to Username, then press Enter.
  8. Your mouse cursor is now in the Password page.
  9. On the Resources tab of the lab side bar, below the Azure portal heading, select the T icon next to select Password, then press Enter.
  10. In the Save password window, select Never.
  11. Select Accept in the Permissions requested page.
  12. To see the lab instructions, select the Instructions tab on the lab side bar.

You can now begin your work on this lab.

Set up action policies

You work for the company USMF, and now USRT needs to buy products through an intercompany relationship from USMF.

To facilitate this buy/sell relationship, you must create an intercompany trading relationship between customer US-040 in USMF and vendor 9001 in USRT.

This intercompany trading relationship includes action policies. Use the following information to set up the appropriate action policies.

Purchase order policies

Use the following purchase order policies in this exercise:

  • Original sales order (direct delivery)

    • Post invoice automatically

    • Print invoice automatically

  • Intercompany purchase order prices

    • Allow price edit

    • Allow discount edit

  • Intercompany purchase order intercompany sales order

    • Sync customer information on the header Sales order policies
  • Intercompany sales order creation

    • Use Company + original number for the sales order numbering

    • Allow summary update of documents for original customer

    • Print picking list automatically

  • Payment

    • Use the CustPay payment journal

    • Post the journal automatically

  • Intercompany sales order prices

    • Price and discount search

    • Allow price edit

    • Allow discount edit

  • Intercompany sales order intercompany purchase order

    • Sync customer information on the header

Switch the company to USRT

To switch the company to USRT, follow these steps:

  1. Select the USMF company in the upper-right corner of the application.

  2. Select company USRT in the list.

Now, you're working in the USRT company. Contoso Retail USA should appear in the banner.

Create a trading relationship with USMF vendor 9001

Note

If you're using demo data, an intercompany trade relation already exists between USMF and DEMF.

  1. In company USRT, go to the Accounts payable module or the Procurement and sourcing module.

  2. Go to Vendors > All vendors.

  3. Select Vendor account 9001.

  4. On the General tab of the Action Pane, in the Set up group, select Intercompany.

  5. Select the Trading relationship tab.

  6. Under ACTIVATION, select Yes.

  7. Under the PURCHASE RELATION section, the My Company field automatically populates with USRT. The Vendor account field also auto populates with 9001.

  8. In the SALES RELATION section, in the Customer company field, select USMF. In the My account field, select US-040.

  9. Select Save on the Action Pane.

Set up the purchase order action policies

To set up the purchase order action policies, follow these steps:

  1. While on the Intercompany page for Vendor 9001, select Purchase order policies in the left navigation area.

  2. Check the boxes for the following options:

    • Post invoice automatically

    • Print invoice automatically

    • Allow price edit

    • Allow discount edit

    • Customer information on the header in the Original Sales Order > Intercompany Purchase Order group

  3. Select Save on the Action Pane.

Set up the sales order action policies

To set up the sales order action policies, follow these steps:

  1. Select Sales order policies in the left navigation area of the Intercompany page.

  2. In the Sales order numbering dropdown list, under the INTERCOMPANY SALES ORDER CREATION section, select Company + original number.

  3. Select the Allow summary update of documents for original customer checkbox in the INTERCOMPANY SALES ORDER CREATION section.

  4. Select the Print picking list automatically checkbox in the INTERCOMPANY SALES ORDER CREATION section.

  5. Select CustPay in the Payment journal dropdown list in the PAYMENT section.

  6. Select the Post journal automatically checkbox in the PAYMENT section.

  7. Select the Price and discount search checkbox in the INTERCOMPANY SALES ORDER PRICES section.

  8. Select the Allow price edit checkbox in the INTERCOMPANY SALES ORDER PRICES section.

  9. Select the Allow discount edit checkbox in the INTERCOMPANY SALES ORDER PRICES section.

  10. Select the Customer information on the header checkbox in the INTERCOMPANY SALES ORDER > INTERCOMPANY PURCHASE ORDER section.

  11. Select Save on the Action Pane.

  12. Select Yes on any warning messages that you receive.

Manage order agreement action policies

To facilitate the buy/sell relationship, you create an intercompany trading relationship between customer US-040 in USMF and vendor 9001 in USRT.

The intercompany trading relationship includes purchase and sales agreement policies.

Allow all options for purchase and sales agreement policies

To allow all options for purchase and sales agreement policies, follow these steps:

  1. In the upper-right corner of the page, change the company from USRT to USMF.

  2. Go to Accounts receivable > Customers > All customers.

  3. Select Account US-040.

  4. On the General tab of the Action Pane, in the Set up group, select Intercompany.

Set up purchase agreement policies

To set up purchase agreement policies, follow these steps:

  1. Select the Purchase agreement policies tab from the left pane.

  2. Select the Allow setting on hold/effective checkbox in the INTERCOMPANY PURCHASE AGREEMENT section.

  3. Select the Allow edit of validity period checkbox in the INTERCOMPANY PURCHASE AGREEMENT section.

  4. Select the Allow price edit checkbox in the INTERCOMPANY PURCHASE AGREEMENT PRICES section.

  5. Select the Allow discount edit checkbox in the INTERCOMPANY PURCHASE AGREEMENT PRICES section.

Set up the sales agreement policies

To set up the sales agreement policies, follow these steps:

  1. Select the Sales agreement policies tab from the left pane.

  2. Select the Allow setting on hold/effective checkbox in the INTERCOMPANY SALES AGREEMENT section.

  3. Select the Allow edit of validity period checkbox in the INTERCOMPANY SALES AGREEMENT section.

  4. Select the Allow price edit checkbox in the INTERCOMPANY SALES AGREEMENT PRICES section.

  5. Select the Allow discount edit checkbox in the INTERCOMPANY SALES AGREEMENT PRICES section.

  6. Select Save on the Action Pane.

Set up value mapping

Now you must define the value mapping for this relationship. Set up the purchase and sales value mapping for the intercompany trading relationship between USRT and USMF, vendor 9001.

Set up Purchase value mapping

To set up Purchase value mapping, follow these steps:

  1. Switch back to the USRT company.

  2. Go to Accounts payable > Vendors > All vendors.

  3. Select Contoso Entertainment System USA (vendor 9001).

  4. On the General tab of the Action Pane, in the Set Up section, select Intercompany.

  5. Set up the purchase value mapping by selecting Purchase value-mapping on the left pane.

  6. Select Our in the dropdown lists for:

    • Mode of delivery code

    • Delivery terms codes

    • Charges code

    • Return reason code

    • Disposition code

    • Classification

  7. Select Save on the Action Pane.

Set up the Sales value mapping

To set up the Sales value mapping, follow these steps:

  1. Select Sales value-mapping in the left pane of the Intercompany page for Vendor 9001.

  2. Select Our in the dropdown lists for:

    • Mode of delivery code

    • Delivery terms codes

    • Charges code

    • Return reason code

    • Disposition code

    • Classification

  3. Select Save and then close the page.

Close the lab environment

When you're done, close the lab environment:

  1. Select Done on the Instructions pane in the lab side bar.

  2. In the Lab is complete window, select Continue, and then select Leave to return to the next unit in the module.
