How to: Copy Information from Purchase Documents to Purchase Credit Memos

When you create a credit memo, you have two options for copying information from purchase documents. You can either use the Copy Document function to automatically fill in the entire document. This is useful if the credit memo is to be an almost exact copy of an existing document, for example, a posted purchase invoice. You can also use the Get Posted Document Lines to Reverse function to copy only certain lines from one or more posted documents.

Either of these procedures can be useful if, for example, you want to correct an incorrect posted invoice, or if you want to post a purchase return or purchase allowance.

The following procedures use a posted invoice as an example, but the same steps can be used for copying an order or a credit memo.

To copy information from purchase documents to purchase credit memos using the copy document function

  1. In the Search box, enter Purchase Credit Memo, and then choose the related link.

  2. Create a new purchase credit memo, and leave all fields blank.

  3. On the Actions tab, in the Functions group, choose Copy Document.

  4. In the Document Type field, select Posted Invoice.

  5. In the Document No. field, enter the number of the posted invoice that contains the information you want to copy.

  6. Select the Include Header field if you want to copy all information from the document to the credit memo. The document lines will be copied whether or not this field is selected.

    If you want to keep the same prices as on the invoice lines, do not select Recalculate Lines.

  7. Choose the OK button to copy the document.

To reverse function to copy information from purchase documents to purchase credit memos using the get posted document lines

  1. Create a new purchase credit memo.

  2. Fill in the FastTabs. Leave the lines empty.

  3. When you are ready to fill in the lines, on the Actions tab, in the Functions group, choose Get Posted Document Lines to Reverse. The Posted Purchase Document Lines window opens.

  4. In the Options FastTab, select the Show Reversible Lines Only field if you want to see only lines that have quantities that have not yet been sold, returned, or consumed. When Show Reversible Lines Only is select, those posted document lines where the full quantities have already been sold, returned, or consumed are hidden. This field only works for posted receipt and posted invoice lines, not for posted return or credit memo lines.

  5. In Document Type Filter, select the type of posted document lines you want to select. The number in parentheses shows the number of documents available in that particular document type.

  6. In the posted document lines, select the lines that you want to copy to the new document.

  7. Choose the OK button to copy the lines to the credit memo.
